Data Protection, Privacy & Confidentiality

This section makes data responsibilities clear before any guest list is uploaded. For Indian events, the parties will comply with applicable Indian data-protection law, including the Digital Personal Data Protection Act (DPDP) and applicable rules as they come into force. International events may require an additional country-specific data addendum.

1.1 Who controls the data?
  • For guest/event data, the Partner or its end client normally decides why the data is collected and how it will be used. That party is generally responsible for the lawful basis, notices and permissions required for the event.
  • BLookHub / GuestFlow processes guest/event data only to provide the agreed GuestFlow services and acts as the technology/service processor for that scope, unless a different role is expressly documented.
  • For Partner account, registration, billing and support data, BLookHub may process that information for operating the Partner Program.
1.2 Data ownership and use
  • Guest/event data remains under the control of the Partner/end client. Uploading data does not transfer ownership to GuestFlow.
  • GuestFlow will not sell, rent or commercially trade guest lists.
  • Guest data will not be used for BLookHub's independent advertising, unrelated marketing or to train a general-purpose AI model.
  • Guest data is used only for agreed event functions such as registration/RSVP, communication, credential generation, access validation, attendance, support and reporting.
1.3 Minimum data principle

GuestFlow should collect only what is needed for the event. Standard fields may include name, mobile number, email (where needed), guest category/access entitlement, RSVP status and entry/attendance timestamps. Additional fields should be activated only when the event requires them.

1.4 Security and access
  • Access to event data is limited to authorised users and authorised support personnel on a need-to-know basis.
  • BLookHub will maintain reasonable technical and organisational safeguards, including access controls, logging/monitoring, secure transmission, continuity/backup controls and appropriate encryption/obfuscation/masking where applicable.
  • Partner users are responsible for protecting their login credentials and for promptly removing access from staff who no longer need it.
  • Event data is logically separated by event/account so that one partner/client should not be able to access another partner/client's guest records.
1.5 Retention and deletion
  • Standard GuestFlow policy: event guest data is kept only for the operational event period, reporting/closure and agreed support needs.
  • Unless the Partner/end client requests a shorter period or law/contract requires longer retention, event guest data is scheduled for deletion from the active event workspace within 30 days after event closure and report handover.
  • Security logs, backups or legally required records may be retained for the period reasonably required by applicable law/security obligations and will not be repurposed for marketing.
  • Before deletion, the Partner may export available standard reports/data permitted under the event plan.
1.6 Guest rights, consent and communications
  • The Partner/end client is responsible for ensuring it has the lawful right to upload guest data and send event communications through GuestFlow.
  • Consent/notice language should clearly state the event purpose and relevant communication channels where consent is relied upon.
  • If a guest validly withdraws consent or requests correction/deletion, BLookHub will provide reasonable assistance to the Partner/end client to implement the request within the service scope.
1.7 Incident handling

If BLookHub confirms a security incident affecting GuestFlow event personal data, it will notify the Partner without undue delay and, where practicable, within 24 hours of confirmation, provide known material facts, take reasonable containment/remediation steps and assist the Partner with legally required notifications.

1.8 Service providers / subprocessors

GuestFlow may rely on reputable infrastructure, hosting, email/communications or support vendors. Such vendors may receive only the access needed to provide their service and should be contractually bound to appropriate security/confidentiality requirements. A current subprocessor list should be made available through the portal or on request.

1.9 International projects

For events involving cross-border data or jurisdictions with additional privacy requirements, the parties will agree any required data-processing or transfer addendum before launch. A local-law requirement may change hosting, retention, consent or support procedures.

Partner Agreement — Plain-Language Terms

These terms govern the Partner Program once accepted by both parties. Event-specific scope, dates, fees and optional services are confirmed separately in an Event Order / activation confirmation.

Clause 1.1

Parties

"BLookHub" means BLook My Space, operating the BLookHub / GuestFlow platform, identified for this Partner Program by GSTIN 27AAFPG9633A6ZU and Udyam Registration No. UDYAM-MH-18-0027811. "Partner" means the agency/company accepting these terms.

Clause 1.2

Relationship

The relationship is non-exclusive and independent. Neither party is an employee, agent, franchisee or legal representative of the other, and neither may bind the other without written authority.

Clause 1.3

Term

The Partner Agreement runs for 12 months from acceptance. It does not automatically create a charge and does not automatically renew for payment. Renewal may be accepted through the portal or in writing.

Clause 1.4

No minimum commitment

Standard Partner status requires no minimum number of events and no annual minimum spend. Volume/exclusive arrangements apply only if separately signed.

Clause 1.5

Use rights

During the term, Partner receives a limited, non-transferable, non-exclusive right to use GuestFlow for approved partner/client events under activated subscriptions.

Clause 1.6

Resale

Partner may package/resell GuestFlow as part of its event services and independently decide its end-client price. Partner may not sell ownership of the platform, source code or unrestricted software rights.

Clause 1.7

Branding

Standard deployments may display GuestFlow / Powered by BLookHub. White-label or custom branding is available only where separately agreed in writing.

Clause 1.8

Intellectual property

GuestFlow software, platform design, code, trademarks, workflows and product materials remain the intellectual property of BLookHub or its licensors. Partner retains its own brand, client materials and pre-existing intellectual property.

Clause 1.9

Partner responsibilities

Partner will provide accurate event information, lawful guest data, suitable operators/devices/connectivity when self-operating, venue approvals and staff supervision. Partner will not misrepresent GuestFlow features or make commitments on BLookHub's behalf without approval.

Clause 1.10

BLookHub responsibilities

BLookHub will provide the subscribed platform scope, standard support described in this document, reasonable product/security practices and agreed event configuration support.

Clause 1.11

Connectivity / third parties

Unless an Event Order explicitly states otherwise, venue internet/mobile connectivity, partner devices and third-party provider availability are outside BLookHub's direct control. BLookHub will assist reasonably but cannot guarantee third-party networks.

Clause 1.12

Payment

No credit card is required. Paid technology subscriptions are invoiced and payable before event activation unless written credit terms are granted. Taxes are additional as applicable. No recurring fee is charged unless the Partner expressly purchases a recurring/volume plan.

Clause 1.13

Event cancellation / reschedule

Before material setup begins: paid technology fee may be carried as full event credit. After material configuration but before credential distribution: up to 75% credit may be carried. After QR/credential distribution or within 48 hours of the event: fees are normally non-refundable, but BLookHub may offer up to 50% reschedule credit. Non-recoverable third-party/onsite costs remain payable. The approved Event Order can override these rules if more favourable or event-specific.

Clause 1.14

Rush activations

Events requested inside 48 hours are accepted only subject to capacity and may carry a disclosed 20% priority deployment fee on the technology subscription. No rush fee applies unless BLookHub confirms it in writing before activation.

Clause 1.15

Confidentiality

Each party will protect non-public commercial, technical, client and event information received from the other and use it only for the partnership/event purpose.

Clause 1.16

Data protection

The data commitments in the Data Protection, Privacy & Confidentiality section above form part of this Agreement. Each party is responsible for its own legal obligations and for instructions/data it controls.

Clause 1.17

Client protection

The Partner Client & Opportunity Protection rules apply to confirmed registered opportunities. It protects the partner's GuestFlow opportunity without creating exclusivity over unrelated client work.

Clause 1.18

Mutual responsibility for claims

Each party is responsible for third-party claims caused by its own fraud, wilful misconduct, unlawful data use, IP infringement, negligence or material breach of these terms, subject to applicable law.

Clause 1.19

Liability

Except for fraud, wilful misconduct, confidentiality/data misuse obligations or liability that cannot legally be limited, each party's aggregate contractual liability relating to a specific event is limited to the total fees paid/payable to BLookHub for that affected event. Neither party is liable for indirect or consequential business losses to the extent permitted by law.

Clause 1.20

Suspension

BLookHub may temporarily suspend access where reasonably necessary to address a security risk, unlawful use, material non-payment or misuse of the platform. Where practical, BLookHub will give notice and an opportunity to cure.

Clause 1.21

Termination

Either party may end the Partner Agreement on 30 days' written notice. Immediate termination is permitted for fraud, deliberate data misuse, IP abuse, serious security abuse or an uncured material breach. Confirmed paid Event Orders continue unless separately cancelled.

Clause 1.22

No clawback of genuine free pilot

A properly used complimentary first-event credit is not retroactively charged merely because the Partner later chooses not to continue.

Clause 1.23

Territory

Standard Partner status is non-exclusive by city/country. Any exclusive territory requires a separate written commitment and commercial addendum.

Clause 1.24

Governing law / disputes

The parties should first attempt good-faith commercial resolution. The agreed Indian governing law and jurisdiction will be stated on the Partner Acceptance page. The contracting business for this Partner Program is BLook My Space, identified by the GSTIN and Udyam Registration stated in this document.

Clause 1.25

Changes to terms

Material changes to partner fees or contractual terms will be notified in advance and will not retrospectively change an already-confirmed Event Order. The current version and effective date will be displayed on the portal.

Partner Acceptance

Before acceptance: please read the fees, support scope, client protection, data terms and cancellation rules on this page and the Partner Program overview. There are no additional automatic fees or minimum-event obligations under the Standard Partner tier unless a separate written addendum is accepted.
